This notice explains how the Ethereal Essence website handles information submitted through etherealessence.tech. It covers this website’s enquiry form and sample demo; live Sona service arrangements are agreed separately.

Information you choose to share

When you send an enquiry, we receive your name, email, business name, industry, message, selected interest, approximate call volume, and phone number if you provide one. We record a request reference, submission time, and your consent. Please do not submit patient information, medical records, passwords, or payment details.

How we use it

We use your details to understand and respond to your enquiry, arrange a demonstration if requested, and prepare a proposal. Submitting this form does not subscribe you to marketing emails.

Storage and retention

Enquiries are stored in the website’s server database. Records in the active website database are kept for 90 days and removed at the next maintenance check. Backups and private exports are separate copies and may remain until their scheduled removal. Our hosting provider processes the infrastructure needed to operate the website. If you become a customer, any ongoing service records and retention arrangements will be explained separately.

Cookies, analytics, and the sample demo

This website does not set tracking cookies or include third-party advertising or analytics scripts. A local browser preference remembers whether you have paused ambient animation. The sample demo is a prewritten transcript. Optional speech uses your browser or device’s speech service, which may process the sample text according to its own settings. The demo does not access your microphone, record audio, or create an appointment.

Operational information

Network addresses are processed temporarily to protect the enquiry form against excessive requests. They are not stored in the enquiry record. The hosting platform may keep operational or security logs under its own configuration.

Your choices

To ask about, correct, or request deletion of an enquiry, use our contact form and select “A privacy request.” Include your enquiry reference if available. We may need to verify the request before changing or sharing a record.

Live Sona deployments

Call audio, transcripts, phone systems, speech providers, and connected calendars may have different data flows. Local language-model hosting alone does not mean every component processes data locally. Deployment-specific responsibilities and data handling must be agreed before using Sona with customer or patient information.
